There are so many things coming in, and it\u2019s hard to prioritize stuff, right? Do you struggle to find quiet moments to gather your ideas? Do you often miss deadlines? Are you constantly working in emergency mode? If you\u2019ve answered yes, you are probably a busy knowledge worker\u2014and you are not alone.<br \/>\n<!--more--><\/p>\n<p>A <a href=\"http:\/\/www.multivu.com\/players\/English\/46619-LexisNexis-International-Workplace-Productivity-Survey\/flexSwf\/impAsset\/document\/d8d1c63b-39f1-4470-bc79-f22d6926a72b.pdf\" target=\"_blank\" rel=\"noopener\"><strong>survey conducted in 2010<\/strong><\/a> by LexisNexis showed that 62% of professionals feel that the quality of their work suffers at times because they can\u2019t sort through the information they need fast enough. The overwhelmed employee is depicted in <a href=\"http:\/\/dupress.com\/articles\/hc-trends-2014-overwhelmed-employee\/?id=gx:el:dc:dup682:cons:awa:hct14\" target=\"_blank\" rel=\"noopener\"><strong>Global Capital Trends 2014<\/strong><\/a>, where we learned that 44% of HR executives admit they are not ready to offer a global response.<\/p>\n<p>So, since knowledge workers\u2019 organizations will not solve it for them, they have to keep suffering or deal with it themselves. Fortunately, this problem has been around for a while, and a number of <a href=\"https:\/\/en.wikipedia.org\/wiki\/Time_management\" target=\"_blank\" rel=\"noopener\"><strong>time management techniques<\/strong><\/a> have emerged that promise gains in efficiency and productivity.<\/p>\n<p><a href=\"http:\/\/gettingthingsdone.com\/\" target=\"_blank\" rel=\"noopener\"><strong>Getting Things Done<\/strong><\/a>\u00ae is a time management method advocated by David Allen. I\u2019ve been using it for the past six years, and it has really helped me to stay on top of my work while keeping my stress level low.<\/p>\n<p>Now that we\u2019ve added more advanced <a href=\"https:\/\/www.exoplatform.com\/blog\/productive-task-management-with-notifications-search-filters-labels\/\" target=\"_blank\" rel=\"noopener\"><strong>task management<\/strong><\/a> capabilities to eXo Platform, I\u2019ve been able to implement my personal GTD\u00ae work system with it. Let me show you how this can be done pretty easily.<\/p>\n<h2>Capturing Stuff<\/h2>\n<p>In order to release your mind from stress, GTD recommends having a <strong>trustable system<\/strong> in which you can dump your ideas as soon as they pop into your mind. Having a place to store them relieves you from the stress of having to remember things. So it\u2019s critical to have a capture device that\u2019s convenient and always ready to minimize interruptions.<\/p>\n<p>The <em>Incoming<\/em> list in eXo Tasks has been designed to be a general in-basket that makes it easy to capture anything, one line at a time. Things you file in <em>Incoming<\/em> don\u2019t necessarily have to be tasks yet. They can be big endeavours, quick hacks, or just ideas. What\u2019s important is to <strong>free your mind<\/strong> rapidly.<\/p>\n<p><a href=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/fill-incoming.gif\"><img decoding=\"async\" class=\"aligncenter size-full wp-image-10347\" src=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/fill-incoming.gif\" alt=\"fill-incoming\" width=\"490\"><\/a><\/p>\n<p>Additionally, <em><strong>Projects<\/strong><\/em> and <em><strong>Labels<\/strong><\/em> provide the same easy-capture facility but with the added advantage of filing items directly in the appropriate folder.<\/p>\n<p>Finally, the <em><strong>Activity Streams<\/strong><\/em> also come with another handy way to capture tasks using the ++syntax. Any task you create this way will end up in your <em>Incoming<\/em> list too. So, you should routinely empty your <em>Incoming<\/em> list with a simple workflow that will ensure that you clarify your tasks. Here\u2019s how I implemented a GTD workflow from my <em>Incoming<\/em>.<\/p>\n<p><a href=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/The-Incoming-Review.png\"><img decoding=\"async\" class=\"aligncenter size-full wp-image-10353\" src=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/The-Incoming-Review.png\" alt=\"The Incoming Review\" width=\"500\" srcset=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/The-Incoming-Review.png 840w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/The-Incoming-Review-300x278.png 300w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/The-Incoming-Review-768x710.png 768w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/The-Incoming-Review-511x473.png 511w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/The-Incoming-Review-355x328.png 355w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/The-Incoming-Review-255x236.png 255w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/The-Incoming-Review-142x131.png 142w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/The-Incoming-Review-97x90.png 97w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/The-Incoming-Review-32x30.png 32w\" sizes=\"(max-width: 840px) 100vw, 840px\" \/><\/a><\/p>\n<p>For each item in your Incoming list, ask yourself if it is something that requires you to take some action to complete. If it\u2019s not actionable, you need to decide either to trash or to refine it later. Here are the <strong>labels<\/strong> I use:<br \/>\n<code><strong>Delete<\/strong><\/code>: To trash a useless or obsolete task, simply delete the task.<\/p>\n<p><code><strong>!Someday<\/strong><\/code>: When a task is an idea that you want to think about later or something too far away to be done at present, apply the !Someday label. You will review this list weekly and decide what to do at that time\u2014i.e., determine the next action you could do to make some progress on the task.<\/p>\n<p><code><strong>Completed<\/strong><\/code>: If the task itself requires less than two minutes to complete, do it immediately and mark it as completed. The task will be struck out and will disappear after a few seconds, giving you a nice shot of satisfaction!<\/p>\n<p><a href=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/The-Incoming-Review.gif\"><img decoding=\"async\" class=\"aligncenter size-full wp-image-10355\" src=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/The-Incoming-Review.gif\" alt=\"The Incoming Review\" width=\"590\"><\/a><\/p>\n<p><code><strong>!Action<\/strong><\/code>: If the action will require multiple steps, such as some preparation work, label it with !Action\u2014and, if it belongs to a project, this is the right time to file it.<\/p>\n<p><strong>Hint<\/strong>: Your Incoming list will display all of your tasks (assigned or created) until you file them in a project. So I have a personal project called !Todos in which I set all tasks that do not (yet) fit into an existing project. This helps to clear my Incoming list, which is one of the critical success factors of GTD.<\/p>\n<p><code><strong>!Next<\/strong><\/code>: If the task does not require any preparation and you could tackle it at any time, mark it as !Next. The list of your !Next actions will be your main reminder to get work done. Each time you sit down for a work session, pick a task from your !Next list.<\/p>\n<p><code><strong>Due Date<\/strong><\/code>: When a task can only be done at a specific date, set a due date. The mini-calendar has some handy shortcuts for today, tomorrow, and next week. They\u2019re handy for going fast, but I recommend using them with caution. A rule of thumb is to set a due date only when it\u2019s strictly time-sensitive or when you made a strong commitment. Otherwise, you may find yourself constantly bouncing tasks for later, which is quite demotivational.<\/p>\n<p><code><strong>!Waiting On<\/strong><\/code>: If you rely on someone else to move this thing forward, such as when waiting for an order form from your provider, mark it with !Waiting On. You can review your !Waiting-Ons daily, to make sure you chase them appropriately.<\/p>\n<p><code><strong>!Delegated<\/strong><\/code>: If you\u2019re a manager, you probably have the extra luxury of having collaborators to whom you can delegate. In this case, use the !Delegated label and assign the task. It will disappear from your All Tasks, but you can still track it loosely through the !Delegated label.<\/p>\n<p>To summarize, I have the following labels to represent my GTD statuses: <code><strong>!Next<\/strong><\/code>, <code><strong>!Action<\/strong><\/code>, <code><strong>!Delegated<\/strong><\/code>, <code><strong>!Someday<\/strong><\/code>, and <code><strong>!Waiting On<\/strong><\/code>.<\/p>\n<p><a href=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Things-Done.png\"><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-10360\" src=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Things-Done.png\" alt=\"Things Done\" width=\"153\" height=\"175\"><\/a><\/p>\n<p><strong>Hint<\/strong>: I find it convenient to regroup my statuses together and prefix them by !, so that when I start typing !, the list of possible statuses is automatically suggested.<\/p>\n<h2>Other Reviews<\/h2>\n<p>GTD recommends doing (at minimum) a weekly review of all your <strong>Actions<\/strong>. This helps planning, and you often find opportunities to trash obsolete stuff. To review your actions, just click on the label <em>!Action<\/em>.<\/p>\n<p><a href=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/BD-2829_image2.jpg\"><img decoding=\"async\" class=\"aligncenter size-full wp-image-10362\" src=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/BD-2829_image2.jpg\" alt=\"Other Reviews\" width=\"800\" srcset=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/BD-2829_image2.jpg 1000w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/BD-2829_image2-300x113.jpg 300w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/BD-2829_image2-768x290.jpg 768w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/BD-2829_image2-720x271.jpg 720w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/BD-2829_image2-500x189.jpg 500w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/BD-2829_image2-360x136.jpg 360w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/BD-2829_image2-200x75.jpg 200w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/BD-2829_image2-100x38.jpg 100w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/BD-2829_image2-70x26.jpg 70w\" sizes=\"(max-width: 1000px) 100vw, 1000px\" \/><\/a><\/p>\n<p>I like to group by projects before I do my <em>Actions<\/em> review because it\u2019s an opportunity for me to remind myself of the goals and outcomes of my projects, and also so I can assess the progress of my contributions. Grouping by <em>Status<\/em> and <em>Due Date<\/em> works better when you don\u2019t have many projects and prefer to tackle things by priority.<\/p>\n<h2>Projects<\/h2>\n<p>GTD encourages you to create projects even for simple things. As long as it\u2019s not trivial and you can define clear outcomes, it\u2019s a project. So when doing your Actions reviews, you might need to refine and figure out that this task is actually a project. Sometimes you\u2019ll find that you need to drill down even more. That\u2019s when sub-projects come in handy.<\/p>\n<p>Also, when you realize that you can\u2019t handle this daunting project alone, you can easily share it with whomever you want to involve.<\/p>\n<p><a href=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled.png\"><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-10367\" src=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled.png\" alt=\"Projects\" width=\"442\" height=\"196\" srcset=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled.png 442w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled-300x133.png 300w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled-360x160.png 360w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled-200x89.png 200w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled-100x44.png 100w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled-68x30.png 68w\" sizes=\"(max-width: 442px) 100vw, 442px\" \/><\/a><\/p>\n<p>After the project ends, you can decide to delete it or simply to hide it, to keep tasks searchable\u2014 and it removes clutter.<\/p>\n<h2>Contexts<\/h2>\n<p>Executing a task may require a specific context, like being in a weekly review call, being at home or at work, or having your phone or your laptop with you. Indicating contexts on your tasks helps you to further narrow down the best tasks to work on at a given moment.<\/p>\n<p>For me, the contexts are my different regular meetings and one-on-one calls with my direct collaborators. Hence, when I\u2019m sitting in on a call, I can review different work items to discuss.<\/p>\n<p><a href=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled-21.png\"><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-10368\" src=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled-21.png\" alt=\"Contexts\" width=\"621\" height=\"279\" srcset=\"https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled-21.png 621w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled-21-300x135.png 300w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled-21-500x225.png 500w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled-21-360x162.png 360w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled-21-200x90.png 200w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled-21-100x45.png 100w, https:\/\/www.exoplatform.com\/blog\/wp-content\/uploads\/2016\/02\/Untitled-21-67x30.png 67w\" sizes=\"(max-width: 621px) 100vw, 621px\" \/><\/a><\/p>\n<p>By grouping the list by projects, we can review project-by-project all the tasks we need to discuss together and update their status if necessary.<\/p>\n<p>I\u2019m not using these contexts, but other popular ones you may consider adding are:<\/p>\n<ul>\n<li>@Phone: when you need to make a phone call<\/li>\n<li>@Errand: something to do in town<\/li>\n<li>@Home: things you can do from home<\/li>\n<\/ul>\n<h2>Ready to Jump?<\/h2>\n<p>I\u2019ve been using this system successfully for a couple of months now. My previous system was based on my email inbox. It worked well, but it was extremely messy because <a href=\"https:\/\/www.exoplatform.com\/blog\/ways-to-reduce-email-overload-in-your-organization\/\" target=\"_blank\" rel=\"noopener\"><strong>emails kept coming in all the time<\/strong><\/a> and created interruptions. Now that I can <strong>capture<\/strong>, <strong>clarify<\/strong>, <strong>organize<\/strong>, <strong>reflect on<\/strong>, and <strong>engage<\/strong> with my work directly within my intranet, I feel less overwhelmed\u2014and, more importantly, I feel more connected to my work and my colleagues.<\/p>\n<p>That said, it\u2019s not the only way to work with eXo tasks. <strong>We wanted to <a href=\"https:\/\/www.exoplatform.com\/blog\/exo-platform-4-3-released-collaborate-productively\/\" target=\"_blank\" rel=\"noopener\"><strong>unleash your productivity<\/strong><\/a><\/strong>. So we designed eXo Tasks to be <strong>flexible<\/strong> and to <strong>support group work<\/strong> while letting individuals adopt their <strong>personal work style<\/strong>.<\/p>\n<p>&nbsp;<\/p>\n<p>And how do you work?
