From discussing, to scheduling meetings, sharing files and notes, co-producing content, assigning tasks and following progress\u2014project teams deal with various activities and need a place where all <strong>project tools<\/strong> and activities can be accessed.<\/p>\n<p><!--more--><\/p>\n<p>In this article we will explore some concrete examples of how <strong>eXo Platform<\/strong> can be used to work on projects collaboratively.<\/p>\n<ul>\n<li>Setting up a project space<\/li>\n<\/ul>\n<p>The spaces feature in <a href=\"https:\/\/www.exoplatform.com\/?utm_source=BlogEn&amp;utm_medium=Blog&amp;utm_campaign=Content&amp;utm_content=link\">eXo Platform<\/a> lets you create a dedicated group site and <strong>invite a team to it to collaborate<\/strong>. So creating a space for your project is where it all begins.<\/p>\n<p>When doing so, you can decide whether your project space is visible or hidden to non-members and if they can openly join it or let you (as the space manager) handle who gets added to your space.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"wp-image-15925 aligncenter\" src=\"https:\/\/www-upgrade.exoplatform.com\/blog\/wp-content\/uploads\/2018\/05\/1-3.png\" alt=\"1\" width=\"488\" height=\"241\" \/><\/p>\n<p>In the space creation wizard, there is an option for inviting users from a group. I would recommend that you do not invite members yet, but instead create an empty space, personalize it to your satisfaction and <i>then<\/i> invite people to it.<\/p>\n<p>Once your project space is created, you can visually customize it with an avatar and cover photo.<\/p>\n<p>By going to space settings you can also customize the list of apps that will be available in your space by adding\/removing apps. This varies based on your needs but for a <strong>project space<\/strong>, we will typically need a <strong>wiki<\/strong>, a document repository, a <a href=\"https:\/\/www.exoplatform.com\/?utm_source=BlogEn&amp;utm_medium=Blog&amp;utm_campaign=Content&amp;utm_content=link\">task manager<\/a>, a <a href=\"https:\/\/www-upgrade.exoplatform.com\/blog\/2017\/12\/07\/how-to-use-collaborative-calendars-in-exo-platform\/\" target=\"_blank\" rel=\"noopener\">shared calendar<\/a>, and a <strong>forum for discussions<\/strong> and polls. By default, you will have an activity stream as the space\u2019s homepage which will aggregate all activity taking place in your project space\u2019s different apps.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"wp-image-15926 aligncenter\" src=\"https:\/\/www-upgrade.exoplatform.com\/blog\/wp-content\/uploads\/2018\/05\/2-3.png\" alt=\"2\" width=\"575\" height=\"289\" \/><\/p>\n<p>Next, you may want to think about creating and organizing your basic content within some of those apps. For example, in the <strong>Wiki<\/strong> you can create an initial <strong>wiki page<\/strong> in which you share information about your project, its goals and procedures. In the Documents app, you can create your basic folder structure, and in the calendar you can set up any recurring events such as weekly project meetings.<\/p>\n<p>Once this is done and your space seems ready enough to you, you can start inviting members to it through the \u201cspace settings\u201d area. When doing so, you can invite individual people as well as bulk-invite members of other <strong>group spaces<\/strong>. When typing in the name of the person\/group you would like to invite you will see a handy list of automatic suggestions.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"wp-image-15927 aligncenter\" src=\"https:\/\/www-upgrade.exoplatform.com\/blog\/wp-content\/uploads\/2018\/05\/3-3.png\" alt=\"3\" width=\"581\" height=\"209\" \/><\/p>\n<p>If you\u2019re not sure who to invite, <strong>eXo Platform<\/strong>\u2019s people directory may prove handy. You do not need to rely on 3rd party file sharing solutions because <strong>eXo Platform<\/strong> provides a built-in <a href=\"https:\/\/www.exoplatform.com\/?utm_source=BlogEn&amp;utm_medium=Blog&amp;utm_campaign=Content&amp;utm_content=link\">document management app<\/a>. Your project files can be uploaded easily and organized inside folders.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"wp-image-15933 aligncenter\" src=\"https:\/\/www-upgrade.exoplatform.com\/blog\/wp-content\/uploads\/2018\/05\/9.png\" alt=\"9\" width=\"575\" height=\"308\" \/><\/p>\n<p>Popular file formats can be previewed inside the <a href=\"https:\/\/www.exoplatform.com\/?utm_source=BlogEn&amp;utm_medium=Blog&amp;utm_campaign=Content&amp;utm_content=link\">Documents app<\/a>, searched, tagged and commented.<\/p>\n<p>Editing documents is done through the \u201cRemote Edit\u201d feature. This lets the user launch a document in his locally-installed <strong>document editing application<\/strong> (such as MS Word, Excel or PowerPoint) without downloading it, and start editing it there. Thus the activity stream acts as a <strong>conversational hub for collaboration<\/strong> around specific pieces of content.<strong><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-15937\" src=\"https:\/\/www-upgrade.exoplatform.com\/blog\/wp-content\/uploads\/2018\/05\/13.png\" alt=\"13\" width=\"711\" height=\"575\" \/>\u00a0<\/strong><\/p>\n<ul>\n<li>Task assignment<\/li>\n<\/ul>\n<p>Tasks are organized in your space\u2019s Tasks app under projects and subprojects which will contain sets of tasks.
